How to Get a Special Power of Attorney in Dubai: A Preparation Checklist

Start with the transaction, not a generic template. This checklist helps you brief your drafter, check the receiving authority’s requirements and prepare for signing a special power of attorney in Dubai.

First decide what your representative needs to do

To get a special power of attorney in Dubai, begin by identifying the exact task you want someone else to carry out. Then check the receiving authority’s requirements, prepare the supporting information, approve the wording and complete the appropriate signing and notarisation process. A special POA is commonly used to describe authority for a defined matter rather than an unrestricted set of instructions. The actual powers come from the document, not its title. A template labelled ‘special’ can still be too broad or omit an essential action. This article focuses on preparing one specific transaction properly; the broader UAE power of attorney guide explains the wider types and background.

Write a one-paragraph transaction brief

Describe what needs to happen, who should do it, where the document will be used and what you do not want to authorise. For example, a property matter might concern an identified sale rather than every property you own. A company matter might concern a named filing rather than general control of the business. These are illustrations, not approved wording for a particular authority. Include any deadlines and the reason you cannot attend yourself. A good brief lets the drafter ask useful questions before preparing legal language. It also gives you a simple reference when reviewing the final document: if the draft authorises more than the brief intended, stop and ask for an explanation.

Check the recipient before booking the notary

The receiving organisation matters as much as the signing channel. A bank, property registration office, court or company registrar may need particular evidence or wording for its own process. Ask that recipient for current requirements, including how recent the document must be, which actions must be named and what identity records it accepts. Notarisation does not mean that every recipient must accept a POA for every purpose. The UAE Government’s court-representation guidance, for example, describes the requirement for an official power of attorney attested by a notary public; that guidance should not be treated as a universal checklist for all private transactions. Confirm the requirements for your own intended use before paying for signing.

Prepare an identity and supporting-document checklist

Simplify Advisory’s service page lists passport, visa and Emirates ID where applicable, together with relevant supporting documents. That is a starting checklist, not confirmation that every applicant needs exactly the same set. Keep names and document numbers consistent. If a passport has been renewed or an asset record uses an old name, explain the difference before drafting. Do not send unnecessary sensitive information through informal channels; ask how documents should be provided securely.

  • The grantor’s full legal name and current identity documents, with spelling checked against the supporting records.
  • The representative’s full legal name and identity details, rather than a nickname or an incomplete contact description.
  • The exact asset, transaction, company or case information needed to identify the matter clearly.
  • Evidence of signing authority where a company or another legal entity is granting the power.
  • The receiving authority’s current requirements for originals, copies, translations and authentication.
  • Any intended limits, duration or excluded actions that the drafter should address expressly.

Review powers, limits and money-handling instructions

Read the draft as a list of actions someone may take in your name. Check whether it permits signing, filing, collecting documents, receiving funds or appointing another representative, and ask why each power is needed. Those actions are not interchangeable. If you only want a representative to submit paperwork, a clause about receiving sale proceeds may require particular scrutiny. Ask the drafter how to express any limits without making the transaction impossible. A special POA should be tailored to the intended matter, but narrower wording is not useful if it leaves out an essential step. The goal is a document you understand and that the recipient can use for the agreed purpose, not simply the shortest possible text.

Choose the signing route after checking eligibility

Dubai Courts provides information about notary services, including licensed private notary offices. The appropriate channel and identity checks depend on the document and applicant. Do not assume that an online appointment is available just because you can upload a scan. Simplify Advisory offers different in-person and online coordination packages, with eligibility described on the service page. Check your residency status, identity documents and the specific document against the chosen channel before buying a package. If a video appointment is available, ask what originals must be at hand and how the signed document will be issued. An online process changes how you attend; it does not remove the need to understand and approve the authority you are granting.

Separate drafting, translation and notary charges

Compare the included work rather than treating all POA prices as equivalent. A quote may cover drafting and document preparation but leave government charges payable at the notary. Another may include online notarisation and coordination. Ask which applies, whether the scope covers your number of grantors, representatives and assets, and what happens if the recipient requests a change. The service page is the right place to check Simplify Advisory’s current package prices and inclusion lists. Avoid budgeting from an old article or assuming a single fee covers additional assets or a company-signing issue. The final written scope should identify the route, translation arrangements, separate payments and the issued document you will receive.

Signing abroad needs a separate plan

If you will sign outside the UAE, say so at the first discussion. The document may need notarisation, legalisation or attestation and a translation acceptable to its UAE recipient. Requirements depend on the country of issue, document and destination authority, so do not copy the route from an unrelated certificate. In some cases a suitable approved online route may be available; confirm eligibility instead of assuming either online signing or foreign notarisation is the only choice. Use the document-attestation service and the broader attestation guide to plan any required authentication stages. Completing those stages in the wrong sequence can mean paying again, especially if the final translation does not cover endorsements added after it was prepared.

Before the appointment: a final practical review

01

Check every identity field

Match names and document details against current records. Tell the drafter about any differences rather than silently choosing one version.

02

Read the approved language

Ask for an explanation of anything you do not understand. Where translation is required, confirm it meets the receiving channel’s current requirements.

03

Confirm the transaction and limits

Verify the intended actions, asset or matter references and any restrictions. Do not add handwritten changes without checking the correct procedure.

04

Confirm logistics

Check attendance, original documents, payment arrangements and how the notarised record will be delivered. Keep the appointment information with the final draft.

After signing, keep control of the document

Retain the issued record, its reference and a copy of the instructions you approved. Give the representative and receiving organisation the form of document they require, and monitor the intended transaction. If your plans change, ask about the correct amendment or revocation procedure and any notices needed for parties relying on the POA. Do not assume a private message to the representative updates a notarised record. Likewise, there is no safe universal expiry statement for every transaction: the text, applicable rules and recipient’s requirements need to be checked. If there is a dispute or uncertainty about authority, obtain individual legal advice before further action is taken in your name.

Get a tailored checklist before committing

Bring your transaction brief to Simplify Advisory’s free 30-minute consultation. Explain the intended recipient, your location, your representative and the supporting records you already hold. The team can then confirm the preparation scope and appropriate package rather than asking you to choose from a label alone. Use the Power of Attorney service page for current inclusions, the UAE overview for general background and the property-transfer service if the POA is part of a conveyancing matter. This is general preparation guidance, not legal advice on a particular instrument. The notary and receiving authority’s current rules, and your individual circumstances, determine the final requirements.

Frequently asked

Can I start with a template for a special POA?

A template can help organise questions, but the final wording needs to match the transaction and receiving authority. The title alone does not establish the powers granted or guarantee acceptance.

Can a special POA be prepared online?

Preparation can be coordinated remotely. Whether signing or notarisation can also be completed online depends on the current channel, document and applicant’s eligibility. Confirm before selecting a package.

Does notarisation guarantee that a bank or property office will accept it?

No universal guarantee is possible. Check the intended recipient’s wording, identity and authentication requirements before signing.

What should I send for the initial consultation?

Start with the specific task, where the POA will be used, your location and the representative’s details. The team will confirm which identity and supporting documents apply.
